Privacy Policy

Last updated: October 8, 2026

This Privacy Policy explains how Kodavara LLC ("Kodavara", "we", "us") collects, uses and shares personal information when you visit kodavara.com (the "Site") or contact us through it. Our apps, including Render, DataFlow and Workbench, have their own privacy policies on their own websites, and those policies apply to the apps.

1. Information We Collect

Information you give us. When you use the contact form or email us, we collect your name, email address, company (if you give it), the topic of your enquiry, your message, and anything else you choose to include.

Information collected automatically. Like most websites, our hosting systems record technical data such as your IP address, browser type, device type, pages requested, referring page and the date and time of the request. We use this to operate and secure the Site.

Analytics and cookies. Where analytics is enabled on the Site, we use Google Analytics to understand how the Site is used, for example which pages are visited and from where. We use Google Consent Mode. Analytics cookies are only set if you choose to accept them in the cookie banner. Until you accept, or if you decline, Google Analytics may still receive limited, cookieless measurements about your visit, such as the page viewed, the time and your approximate location, without cookies or a persistent identifier. We also store your cookie choice in your browser so we do not ask you again on every visit.

Advertising measurement. We may advertise on Google. If you accept the cookie banner, Google Ads may set cookies or use a click identifier when you arrive from one of our ads, so that we can see which ads lead to enquiries or sign-ups. We use this only to measure results. We do not use it to show you personalised ads, to build advertising audiences or for remarketing. If you decline, these cookies are not set.

2. How We Use Information

  • To respond to your enquiries and provide the services you ask about.
  • To send news, tips and product updates, if you opted in to the mailing list.
  • To operate, maintain, secure and improve the Site.
  • To measure how the Site is used and which of our ads lead to enquiries or sign-ups, if you have accepted.
  • To prevent spam, abuse and fraud.
  • To meet legal obligations and to establish or defend legal claims.

3. How Contact Messages Are Handled

When you send a message through the contact form, it is delivered to us by email through a form delivery service, and we may track it as a task in our internal ClickUp workspace so that we can answer it. Emails you send to us are handled in our email system. Only our team members who need to respond have access.

4. Mailing List and Requests

The contact form has optional boxes. If you tick the mailing list box, we add your name and email address to our mailing list and send you news, tips and product updates. We only do this if you tick the box, and every email includes a way to unsubscribe. You can also ask us to remove you at any time. If you ask for a free consultation or an app demo, we use your details to arrange it. We may use an email service provider to store the list and send these emails.

5. Legal Bases

If you are in the European Economic Area, the United Kingdom or a similar jurisdiction, we process personal information on these bases: our legitimate interests in running our business, answering enquiries and keeping the Site secure; steps you ask us to take before entering into a contract; your consent for analytics and advertising measurement cookies and for the mailing list; and compliance with legal obligations.

6. Sharing Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share it only with:

  • Service providers that help us run the Site and our business, such as website hosting, a form delivery service that carries contact form messages to our inbox, email, ClickUp for tracking enquiries, and Google Analytics and Google Ads if you accept the cookie banner. They may only use the information to provide services to us.
  • Authorities or other parties when the law requires it or to protect rights, safety and security.
  • A successor organization if Kodavara is involved in a merger, acquisition or sale of assets.

7. Cookies

If you accept the cookie banner, Google sets analytics cookies and, for visitors who arrive from one of our Google ads, advertising measurement cookies. We use them only to measure results, not to show you personalised ads. You can change your choice at any time using "Cookie Settings" in the footer, and you can also block or delete cookies in your browser settings. If you decline, these cookies are not set and Google receives only the limited, cookieless measurements described above.

8. How Long We Keep Information

We keep personal information for as long as needed for the purposes described above, for example to answer your enquiry and keep a record of our conversations, and for as long as the law requires. If you joined the mailing list, we keep your details until you unsubscribe. After that we delete it or remove identifying details.

9. Your Choices and Rights

Depending on where you live, you may have the right to ask for access to the personal information we hold about you, to correct or delete it, to object to or restrict certain uses, to receive a copy in a portable format, and to withdraw consent at any time. If you live in California, you may also ask what categories of personal information we collect and request deletion; we do not sell or share personal information as those terms are defined in California law. To make a request, email hello@kodavara.com. We may need to verify your identity first. You also have the right to complain to your local data protection authority.

10. Security

We use reasonable technical and organizational measures to protect personal information, including encrypted connections to the Site. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send passwords, payment card numbers, health information or other sensitive personal data through the contact form.

11. International Transfers

We are based in the United States and our service providers may process information in the United States and other countries. Where required, we rely on appropriate safeguards for transfers of personal information from your region.

12. Children

The Site is intended for business users and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has sent us information, contact us and we will delete it.

13. Links to Other Sites

The Site links to other websites, including our app sites and ClickUp. We are not responsible for their privacy practices, and we encourage you to read their policies.

14. Changes to This Policy

We may update this policy from time to time. The date at the top shows when it was last updated, and we will post any changes here.
