ClickUp Custom Field Audit: Cut the Clutter Without Losing Data

Custom Fields can be created at List, Folder, Space or Workspace level, so a busy Workspace ends up with many near-duplicates: three Priority fields, two Client fields, and dozens nobody uses. This guide shows how to audit fields, decide what to keep, and consolidate safely.

What ClickUp Does Today

What You Can Do Natively

Start with the features available on your ClickUp plan.

Scope From List to Workspace

Fields can be added at List, Folder, Space or Workspace level. Workspace-level fields are reusable across Spaces.

Many Field Types

Types include Dropdown, Checkbox, Date, Button and Location, among others, so a field can often be chosen to match the data.

Fields by Task Type

Custom Fields can be tied to a task type, so only relevant fields show for that kind of work.

Workbench Field Audit

Workbench reads custom fields along with tags and statuses, scores usage and exports to CSV and JSON.

Where It Falls Short

The Gaps People Run Into

If these are your problem, keep reading.

  • The Custom Field Manager lists fields across the locations you can access, but it does not show how often each field is used or what depends on it, so duplicates still hide.
  • Changing a field type or merging two fields is a data decision, not a rename, and values may need to be moved.
  • Deleting a field removes it from views, dashboards and automations that use it, so check dependencies first.
  • Nothing enforces naming or standards for new fields.
  • Reports break when the same idea is held in several fields with slightly different options.

Worked Example

Example: Field Consolidation

A typical audit result. Values are illustrative.

How Workbench Workspace Audit Does It

Set It Up Once

Workbench finds the fields and measures use. We make the decisions with you and run the consolidation.

1

Run the Audit

We inventory fields and usage.

2

Decide What Stays

We agree the target field set.

3

Map Dependencies

We find everything that reads each field.

4

Consolidate

We move values and remove the extras in batches.

5

Set Standards

We write the rules and re-audit date.

FAQ

Common Questions

Not here? Ask us.

Where can Custom Fields be created?

At List, Folder, Space or Workspace level. Workspace-level fields are reusable across Spaces.

Can I merge two custom fields?

Yes, on Business Plus and Enterprise. Up to three fields of the same type can be merged at once, with value mapping. Some types, such as formula, relationship and rollup fields, cannot be merged, so those need a plan of their own.

What breaks if I delete a field?

Views, dashboards, automations and forms that use it, so we check dependencies before removing anything.

Can I change a field type?

Treat it as a data change. We test it on a copy and check the values.

How do we stop duplicates coming back?

Naming rules, a request process and scope guidance, with a periodic re-audit.

Can I export the audit?

Yes. Workbench exports to CSV and JSON.
