ClickUp Process Automation: Make the Handoffs Happen Without Chasing

Most process problems are handoffs: work waits for an approval, passes to the wrong person or misses a deadline. ClickUp can run these as configured rules using statuses, fields, assigned comments, checklists, dependencies, templates and Automations. This guide shows what that covers, where it relies on people, and the configuration we build.

What ClickUp Does Today

What You Can Do Natively

Start with the features available on your ClickUp plan.

Statuses as Stages

A process becomes a set of statuses, each with a meaning and an owner, so everyone sees where work is.

Approvals From Parts

Approvals are built from statuses, assigned comments, Custom Fields and checklists. Proofing handles review of files and images, subject to your plan.

Automations for Handoffs

Rules can assign the next owner, set due dates, post comments, create follow-up tasks and notify people when a status changes.

Templates

Task and checklist templates start every instance of a process the same way.

Where It Falls Short

The Gaps People Run Into

If these are your problem, keep reading.

  • Approvals are a process agreed by people, not a hard lock, so work can still be moved around them unless the team follows the rules.
  • Dependencies show what is waiting but do not stop someone changing a task.
  • Automations are metered by plan and can fail when statuses or fields change.
  • A process with many branches is easier to maintain when simplified first.
  • Approver absence needs a rule, such as a delegate or an escalation after a set time.

FAQ

Common Questions

Not here? Ask us.

Does ClickUp have an approval feature?

Approvals are configured from statuses, assigned comments, fields and checklists, with Proofing for files and images depending on your plan.

Can ClickUp force an approval before work continues?

Approvals are a process the team follows, not a hard lock. We design rules and visibility that make skipping them obvious.

Can handoffs be automatic?

Yes. Rules can assign the next owner, set due dates and create follow-up tasks when a status changes.

What about SLAs?

There is no native SLA feature. Targets are built from due dates, priorities and automations.

What if an approver is away?

We build a delegate or an escalation after a set time.

Will this use up our automation allowance?

We design lean rules and check usage against your plan.
