The ClickUp Admin Checklist: What to Check Weekly, Monthly and Quarterly
ClickUp does not remind anyone to look after the workspace, so the jobs slip. A short, regular checklist keeps access correct, automations running and the structure tidy. This guide gives you the checklist and explains why each item matters.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
People and Access
Roles decide what people can do. Good practice is least-privilege access, a small Owner and Admin group, and regular reviews that remove access for people who changed teams or left.
Seats and Billing
New members added mid-cycle fill open seats first, otherwise they are prorated. A removed user's seat stays open until renewal. Paid plans include guest seats, and inviting more guests with permissions can add a paid member seat.
Automations
Each automation has an Activity tab showing its runs. Failed means a step broke, and Skipped means the conditions were not met.
Structure and Standards
Review Spaces, Folders and Lists, retire unused templates and workflows, standardize new integrations and apps, and keep documentation current.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- ClickUp does not remind admins to do any of this, so it depends on someone owning the checklist.
- No single admin screen shows people, automations and structure together.
- Deactivated users stay on tasks as assignees until someone reassigns the work, so offboarding needs a review of open items.
- Failed and skipped runs are listed on the Activity tab, but only if someone reviews them on a regular schedule.
- Without a record of changes, nobody can say why something was set up the way it was.
Worked Example
Example: The Checklist
Put it in ClickUp as recurring tasks, with an owner and a backup. Adjust the items to your setup.
| How Often | Check | Why |
|---|---|---|
| Weekly | New and departed users, and guest access | Keeps access correct |
| Weekly | Failed runs on the Activity tab of key automations | Catches silent failures |
| Weekly | Open requests from the team | Nothing sits waiting |
| Monthly | Seats against people, and guests | No surprise charges |
| Monthly | Unused custom fields, tags and statuses | Stops sprawl |
| Monthly | Dashboards still show the right numbers | People keep trusting them |
| Quarterly | Roles and the Owner and Admin list | Least privilege holds |
| Quarterly | Templates, standards and documentation | Retire the old, record the new |
| Quarterly | Integrations and apps in use | Remove what nobody uses |

FAQ
Common Questions
Not here? Ask us.
How often should a ClickUp admin check the workspace?
Weekly for access and automation failures, monthly for seats and sprawl, and quarterly for roles, templates and integrations.
Does ClickUp send admins reminders?
ClickUp has no built-in reminders for admin work, so use recurring tasks.
What happens to a departed user's seat?
Their seat stays open until the next renewal, then unused seats are dropped.
How do I see why an automation failed?
Open the automation and its Activity tab, filter by status and expand a run. Failed means a step broke, and Skipped means the conditions were not met.
Does a Workbench audit change anything?
No. Audits read your workspace. Changes happen only when you choose to act on a finding.
Can you run the checklist for us?
Yes. It is the core of our part-time admin service.
