ClickUp User and Seat Management: Onboarding, Offboarding and Surprise Charges
People joining and leaving is where ClickUp workspaces quietly go wrong: access that should have ended, tasks still assigned to people who have gone, automations that stop and seat charges nobody expected. This guide explains the rules and gives you a checklist.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
Roles Decide Access
The roles are Owner, Admin, Member, Limited Member and Guest. Limited Members are limited by default to what is shared with them and can be invited to Spaces. Guests see only what is explicitly shared with them.
Guest Seats
Paid plans include a number of permission-controlled guest seats and unlimited view-only guests. If you run out and invite a guest with permissions, a paid member seat is added automatically. Check ClickUp's pricing page for the current counts.
Seats and Proration
A member added mid-cycle fills an open seat first, otherwise the charge is prorated. When you remove a user, their seat stays open until renewal. Members can be converted to guests to reduce cost.
One Owner
A Workspace has one Owner at a time. Ownership can be transferred on any plan by the current Owner, and the old Owner becomes an Admin.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- Deactivated users stay on tasks as assignees, labelled Deactivated, until someone reassigns the work.
- Reassignment can be done in bulk from All Tasks, but someone has to find and review every open item for each departure.
- An automation that assigns or notifies a removed person needs a new target, so check each rule that names them.
- Automations stay active when their creator is removed, so someone should take ownership of each one.
- Seat charges can change when roles or guests change, so check what you are billed for after any access change.
Worked Example
Example: An Offboarding Checklist
Run it before you deactivate, not after.
| Step | Why It Matters | What to Check |
|---|---|---|
| Reassign open tasks | Deactivated users stay assigned until someone reassigns the work | Filter All Tasks by the person, then reassign or unassign in bulk |
| Check automations they created | They stay active after the creator is removed, but nobody owns them | Record a new owner and review each rule |
| Review dashboards and views they own | Shared items can lose their owner | Hand them to a team owner |
| Transfer Spaces they own | A Space has one owner | Reassign to a long-term owner |
| Remove or convert the seat | The seat stays open until renewal | Note the renewal date, or convert to a guest |
| Record it | Nobody remembers later | Log who left, what moved and when |
Sample data for illustration.
