Kodavara Guide
How a ClickUp Admin Retainer Works: Hours, Request Queue and Turnaround
A retainer turns "can someone look at this?" into a predictable service. You get a monthly block of hours, one place to ask, agreed turnaround and a summary of what was done. This guide explains each piece and how we set it up in ClickUp itself.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
Forms for Requests
ClickUp Forms are available on all plans and each submission creates a task in a List, which makes a simple request form.
Statuses as Queue Stages
A List's statuses can show the stages of a request, such as New, In Progress, Waiting and Done.
Time Tracking for Hours
Time entries record the hours spent, and time tracking cards can be exported with durations in decimal hours.
Dashboards Show the Queue
A Dashboard can show open requests, who is working on them and how old they are.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- ClickUp has no native monthly hours allowance, so hours need to be tracked and reported on purpose.
- Without agreed turnaround, urgent and routine requests mix together.
- Unused hours and extra work need a rule, or they become an argument.
- Small builds can grow in scope without a quick check against the hours.
- A retainer is only as good as the monthly review that follows it.
Worked Example
Example: A Retainer Request Queue
Each request has a type, the hours it took and a status. Values are illustrative.
| Request | Type | Hours | Status |
|---|---|---|---|
| Add a Client field and a view | Small build | 1.50 | Done |
| Fix an automation that stopped | Fix | 0.75 | In progress |
| Offboard two users | Access | 0.50 | Done |
| Quarterly permissions review | Review | 2.00 | Scheduled |
Sample data for illustration.
The Configuration
How the Retainer Is Set Up
Each element is agreed with you and written down at the start, so there are no surprises later.
| Element | What We Set Up | Why It Matters |
|---|---|---|
| Monthly Hours Block | An agreed number of hours each month | A predictable cost and capacity |
| Request Queue | A form and a List for requests, with a priority field | One place to ask, and nothing gets lost |
| Turnaround | Agreed response and completion targets by priority | Everyone knows what to expect |
| Time Tracking | Hours logged against each request and reported monthly | You can see where the hours went |
| Monthly Summary | What was done, hours used and what is next | A regular point to review and plan |
| Unused Hours and Extra Work | Agreed rules for both | No awkward conversations |
How Kodavara Consulting Does It
How We Run Your Retainer
We set up the retainer in ClickUp itself, so you can see every request and every hour.
Agree the Scope and the Hours
We agree what is covered, such as requests, fixes, small builds, monitoring and reviews, and the monthly hours.
Set Up the Queue
We create the request form, the List, the statuses and the dashboard.
Agree Turnaround by Priority
We set response and completion targets for urgent, normal and planned work.
Log Time and Report Monthly
We track hours against each request and send a short summary every month.
Review and Adjust Each Quarter
We look at demand and results together, and change the hours if they no longer fit.
