ClickUp Automations Not Working? A Practical Troubleshooting Checklist

When a ClickUp automation does not fire, the cause is usually one of a handful of things: it is paused, its conditions are not met, a step failed, or you hit a plan limit. This checklist walks through them in order, and shows when it is time for an outside audit.

What ClickUp Does Today

What You Can Do Natively

Start with the features available on your ClickUp plan.

1. Is It Active?

Open the automation and check it is switched on and not paused.

2. Read the Activity Tab

Open the automation, click Activity, and filter by status. Failed means the trigger fired and a step broke. Skipped means the criteria or conditions were not met.

3. Check Plan Limits

Automations have limits on active automations and monthly actions that depend on your plan. See ClickUp's automation limits page for the current figures, because they change.

4. Check Conditions and Triggers

Look at each condition and the trigger's location. A task that is outside the location, or does not match a condition, will be skipped.

Where It Falls Short

The Gaps People Run Into

If these are your problem, keep reading.

  • The Activity tab lists runs and failures across the Workspace and can be filtered by location, date and status. It is not an inventory of every rule, so a regular review still needs an owner.
  • A rule can stop doing useful work without anyone noticing, for example after a status, field or user it depends on changes. Failed runs show on the Activity tab, so check them regularly.
  • Recurring tasks follow the recurrence option you choose: when complete, when done or on schedule, so check which one is set.
  • Automations that depend on recurring tasks need an end-to-end test, because the recurrence settings decide when new tasks appear.
  • Setups that grew over years are hard to read, so overlapping and conflicting automations go unnoticed.

Worked Example

Example: Symptoms and the Most Likely Cause

Start with the symptom, then check the cause. These are common patterns, not a guarantee.

SymptomLikely CauseWhat to Check
Never runsPaused, or the trigger does not matchActive switch and trigger location
Runs show SkippedConditions not metEach condition against the task
Runs show FailedA step brokeOpen the run and read the error
Stopped partway through the monthMonthly action limitUsage against your plan limits
Recurring task came late or not at allNext one appears when the recurrence option says it shouldWhether it recurs when complete, when done or on schedule

Sample data for illustration.

How Kodavara Consulting Does It

We look for conflicting, duplicated and outdated automations, and for steps that could silently fail.

3

Test the Triggers

We test the important ones against real tasks and read the run history.

4

Fix and Document

We repair what is broken and document the rules in plain language.

5

Keep an Eye on It

Optional part-time admin keeps checking runs, limits and failures so problems are caught early.

FAQ

Common Questions

Not here? Ask us.

Why is my ClickUp automation not triggering?

Check it is active, read its Activity tab for Failed and Skipped runs, check your plan limits, and review its conditions and trigger location.

What is the difference between Failed and Skipped?

Failed means the trigger fired and a step broke. Skipped means the criteria or conditions were not met.

Do automations have limits?

Yes. They have plan-based limits on active automations and monthly actions. Check ClickUp's limits page for the current figures.

Why did my recurring task not appear?

It depends on the recurrence option. A task can recur when it is complete, when it is done, or on schedule, and a task with 500 or more subtasks does not recur. Check which option is set.

Can you audit our automations?

Yes. We inventory them, find conflicts and failures, fix them and document what each one does.

Does Workbench show automations?

Workbench has an Automations and Agents hub that shows your automations, webhooks and their events in one place.
