ClickUp Scheduled Exports: How to Automate Recurring Exports

ClickUp lets you export tasks to a CSV by hand, but it has no built-in way to run an export on a schedule. This guide covers what ClickUp does natively, where it stops, and how to get a fresh export delivered on a schedule without anyone clicking a button.

What ClickUp Does Today

What You Can Do Natively

Start with the features available on your ClickUp plan.

Export Items From Settings

Workspace admins can export tasks from chosen Spaces, Folders or Lists to a CSV, from the Imports and Exports area of Settings. The download link works for about an hour, and very large exports can fail, so export fewer locations at a time.

Export a List or Table View

From a List or Table view, Customize then Export lets you choose the visible columns, task names only or all columns. Custom fields come out as columns. To get subtasks as their own rows, set the view to show subtasks as separate tasks first.

View Export Limits

Export allowances differ by plan and export type, so check the current limits for your plan.

The API and Connectors

ClickUp has no scheduled export. Teams that need one usually use the ClickUp API or a third-party connector on a timer, which works but needs someone to build and maintain it.

Where It Falls Short

The Gaps People Run Into

If these are your problem, keep reading.

  • Every native export starts with a person clicking a button.
  • The download link expires after about an hour, so nothing is kept for you.
  • Large workspaces can fail, so exports have to be split up by hand.
  • Subtasks only appear as rows when the view is set up for it, which is easy to forget.
  • Nothing sends the file to the people who need it.

Worked Example

Example: A Weekly Project Status Workbook

A scheduled export set to run every Monday at 7:00 Central produces a workbook like this, ready when the team arrives.

Moving ClickUp Data Into Another System?

DataFlow maps, reshapes, scrubs and transforms raw ClickUp data so the system on the other end accepts it. Durations become hours, dates change format and status values are mapped.

What the video shows

Raw ClickUp values on the left, such as a duration of 9,000,000 ms, the date Sep 7, 2026 and a status of In Progress. On the right, what the receiving system needs: 2.50 hours, 2026-09-07 and ACTIVE. DataFlow sits in between and does the conversion, so the exported file arrives ready to use.

How DataFlow Does It

Set It Up Once

DataFlow saves an export as a reusable definition, so the work of choosing fields and formats happens once.

1

Connect ClickUp

Sign in with ClickUp or use a personal API token, then pick your workspace.

2

Choose What to Export

Pick the Spaces, Folders or Lists, and the kind of row, such as tasks or time entries. Lists added later to a Folder are picked up.

3

Shape the Columns

Choose, rename and order the columns, set date and duration formats, add filters, and preview the first 25 rows before turning it on.

4

Pick the Output and Schedule

Choose CSV or Excel, then hourly, daily, weekly or monthly at a time and time zone you set. Delivery is an emailed download link, a copy in the run history, or a task in ClickUp on higher plans.

FAQ

Common Questions

Not here? Ask us.

Does ClickUp have scheduled exports?

ClickUp has no scheduled or recurring export. Exports are started by hand, or by a tool that uses the ClickUp API.

Can I export custom fields from several lists at once?

ClickUp can export chosen Spaces, Folders or Lists, and custom fields come out as columns in view exports. DataFlow merges custom fields across the lists in scope into one file.

How often can DataFlow run an export?

Manually, hourly (on higher plans), daily, weekly or monthly, at a time and time zone you choose. It does not run more often than hourly.

Which formats does it produce?

CSV and Excel. Excel can put each client or other value on its own tab.

Does it send the file as an email attachment?

It emails a download link, not an attachment. The file is also kept in the run history for a period that depends on your plan.

Is the file current when it runs?

By default each run re-reads the lists in scope from ClickUp first, so the file reflects the data at that moment.

Can it deliver to Google Sheets or an SFTP server?

Not currently. Today the options are an emailed link, the run history and a ClickUp task.
