ClickUp Client Portal: What Guest Access Can and Cannot Do

ClickUp has no dedicated client portal. Teams build one from guests, shared items and Dashboards. That works for simple cases. This guide shows what you get, the gaps people run into, and when a custom portal is worth the effort.

What ClickUp Does Today

What You Can Do Natively

Start with the features available on your ClickUp plan.

Guests See Only What You Share

A guest can be given access to Dashboards, Lists, Folders, Tasks and Docs, and sees only items shared with them. A Dashboard shows a guest only the data from tasks already shared with them.

Permission Levels

Guests can be limited to viewing, commenting or editing, depending on your plan.

A Portal Template

ClickUp offers a Client Portal Dashboard template as a starting point.

Forms for Intake

Forms are available on all plans, and each submission creates a task in a List you choose.

Where It Falls Short

The Gaps People Run Into

If these are your problem, keep reading.

  • Guests are not isolated automatically. You share each item with each guest by hand.
  • Guest seats are limited by plan on paid plans, so check ClickUp's pricing page before you plan around them.
  • There is no native client concept or client field you can group by the way you group by assignee.
  • What a guest can change on a shared Dashboard depends on the permission you give, so test it before you share one.
  • ClickUp's feedback board has open requests for a branded portal with files, invoices, messaging and signing in one place.

Worked Example

Example: Native Guest Access or a Custom Portal?

Start with what each client needs to do. Guest access covers the simple cases. A custom portal covers the rest.

How Kodavara Consulting Does It

Set It Up Once

If guest access is enough, we set it up properly. If you need a real portal, we scope and build one around your ClickUp data.

1

Map Who Needs to See What

List your client types, what each should see and what they should be able to do.

2

Set Up Guests and Sharing Properly

Create a consistent way to share Lists, Dashboards and Docs, so nothing is missed or over-shared.

3

Add Intake Forms

Use Forms for requests, so a new task appears in the right List.

4

Decide Whether Guest Access Is Enough

Check the example table against your needs. If the gaps matter, a custom portal is the answer.

5

Scope a Custom Portal If You Need One

We scope a portal that reads and writes your ClickUp data, with your branding and the controls your clients expect.

FAQ

Common Questions

Not here? Ask us.

Does ClickUp have a client portal?

There is no dedicated client portal. Teams use guest access with shared Lists, Folders, Docs and Dashboards, and ClickUp offers a Client Portal Dashboard template.

Can a guest see my whole workspace?

No. A guest sees only the items shared with them.

How many guests can I have?

It depends on your plan, and paid plans have a limited number of guest seats. Check ClickUp's pricing page for the current numbers.

Can I brand a ClickUp portal with my logo?

Not natively. Guests use ClickUp's own interface.

What is the difference between guest access and a client portal?

Guest access gives a person a login to specific ClickUp items. A client portal is a purpose-built page for clients, with their own view, branding and actions.

Can you build a custom portal?

Yes. Custom apps and portals are part of our consulting work. Tell us what your clients need to see and do, and we will scope it.
