ClickUp Automated Client Reports: Scheduled, Per-Client and Ready to Send

ClickUp can email a Dashboard as a PDF on a schedule. If you need a report per client, in a layout you control, you will want more. This guide covers the native option, its limits, and how to produce a per-client workbook every week or month without lifting a finger.

What ClickUp Does Today

What You Can Do Natively

Start with the features available on your ClickUp plan.

Scheduled Dashboard Reports

A Dashboard can be emailed as a PDF to one or more addresses on a schedule, set up in a similar way to Automations.

Usage Limits

Scheduled reports are limited by plan: 40 uses on Unlimited and Business, and unlimited on Business Plus and Enterprise. Each email send counts as one use. Check ClickUp's limits page for current figures.

Share a Dashboard

A Dashboard can be shared privately, with the Workspace or with specific people. Guests can see only data from tasks already shared with them.

Public Links

Public sharing options differ by item type, so check whether a Dashboard can be shared the way you need.

Where It Falls Short

The Gaps People Run Into

If these are your problem, keep reading.

  • A scheduled report is a PDF of one Dashboard, so each client needs a Dashboard of their own.
  • Limits on lower plans can run out for a busy agency.
  • There is no way to brand or lay out the PDF beyond the Dashboard itself.
  • A workbook with one tab per client is not something a Dashboard produces.
  • Setting up many near-identical Dashboards is repetitive.

Example: One Workbook, a Tab per Client

How DataFlow Does It

Set It Up Once

DataFlow builds the report on a schedule and delivers it. For a designed PDF per task, Render can do that part.

1

Choose the Rows

Use tasks or time entries as the row type and scope it to your client Folders or Lists.

2

Pick the Columns and Summarize

Choose and rename columns, filter, and group or total as needed.

3

Output a Workbook With a Tab per Client

Choose Excel and split by the column that holds the client, so each client gets their own tab.

4

Deliver It

Email a download link to a recipient list, keep a copy in the run history, or push the file to a task in ClickUp on higher plans.

5

Schedule It

Run it weekly or monthly in your time zone, covering the last week or month, and receive a failure email if a run does not complete.

FAQ

Common Questions

Not here? Ask us.

Can ClickUp email a report automatically?

Yes. A Dashboard can be emailed as a PDF on a schedule, within your plan's usage limits.

Can I send each client their own report?

A native scheduled report is one Dashboard to its recipients. DataFlow produces one workbook with a tab per client, which you can then split or share. One recipient list applies to each DataFlow.

Does DataFlow attach the file to the email?

No. It emails a download link, and anyone with the link can download the file until it expires.

Can clients log in to see a report?

No. DataFlow does not provide a client portal. For logged-in access, ClickUp's guests and shared Views are the native route.

Can Render make a client report PDF?

Render turns a task into a designed PDF when a ClickUp automation triggers it, so it suits a status report held on a task. It does not build charts or run on its own schedule.

How often can it run?

Daily, weekly or monthly, and hourly on higher plans, at a time and time zone you choose.
