ClickUp Custom Task IDs Across Spaces: One Series That Follows the Task

ClickUp's Custom Task IDs belong to a Space, and a task moved to another Space is given a new ID. If you need one numbering series that spans several Spaces, or a number that never changes when work moves, you need a different approach. This guide shows the limit and the fix.

What ClickUp Does Today

What You Can Do Natively

Start with the features available on your ClickUp plan.

One Prefix and Counter per Space

Custom Task IDs are turned on per Space. Each Space gets its own capitalized prefix and a starting number, and new tasks count up from there.

Moving Changes the ID

Moving a task to another Space that uses Custom Task IDs gives it a new ID from that Space. The underlying ClickUp ID never changes.

Moving Out of ID Spaces

Move a task to a Space without Custom Task IDs and it keeps only its underlying ClickUp ID.

Fine Within One Space

If your work stays inside one Space, the native feature is the simplest answer.

Where It Falls Short

The Gaps People Run Into

If these are your problem, keep reading.

  • There is no way to run one series across several Spaces.
  • An ID is tied to the Space, so a reference sent to a customer can stop matching after a task is moved.
  • Numbers cannot be limited to a type of work, a tag or a status rather than a Space.
  • There is no central place to see all IDs or their history.
  • The pattern is a prefix and a count, with no year, month or fiscal year.

Worked Example

Example: A Task That Moves Between Spaces

The ClickUp ID changes with the Space. A series-based number is written once to a field or the task name and stays with the task. Values are illustrative.

How Render Sequencer Does It

Set It Up Once

The Sequencer keeps one numbering series, however many Spaces the work passes through.

1

Create One Series

Choose a pattern, such as INV-{YYYY}-{counter}, the padding, the starting number and when it restarts.

2

Scope It Across Spaces

Include the Spaces, Folders or Lists the series should number, and exclude any that it should skip.

3

Choose Which Tasks Qualify

Number only tasks of a given type or tag, in the status you choose, so the series follows the kind of work, not the Space.

4

Pick Where the Number Goes

Write it to a custom field, the task name, a comment or a tag. Render does not change ClickUp's own Custom Task ID.

5

Add the ClickUp Automation

Build an automation that calls the series when a task reaches your chosen status. A task asked twice gets the same number back, so retries and moves are safe.

FAQ

Common Questions

Not here? Ask us.

Does ClickUp keep a Custom Task ID when I move a task?

Not between Spaces that use Custom Task IDs: the task gets a new ID from the destination Space. The underlying ClickUp ID never changes.

Can one series span several Spaces?

Not with ClickUp's Custom Task IDs. The Sequencer's scope can include several Spaces, Folders and Lists in one series.

Will the number change if a task moves?

No. The number is written once to a field or the task name, and a task asked for a number again gets the same one back.

Can numbers be unique forever?

Yes. A number is unique for the life of its series and is never reissued, even if it is voided.

Can I number by task type or tag instead of by Space?

Yes. A series can be limited to a task type, tags, a status and a created-after date.

Does this replace ClickUp's Custom Task IDs?

No. It writes the number to a field or the task name. ClickUp's own ID is left alone, so you can use both.
