ClickUp Invoice Generation: A Numbered Invoice PDF From a Task

ClickUp does not generate invoices from tracked time. QuickBooks Online Sync, in beta on Business Plus and Enterprise, brings customers and invoices from QuickBooks into ClickUp but does not sync time. ClickUp does track billable time. This guide shows how teams get a branded, numbered invoice PDF from a task and hours ready for it.

What ClickUp Does Today

What You Can Do Natively

Start with the features available on your ClickUp plan.

Track Billable Time

Time entries carry a billable flag, and the Billable report lets you filter and group billable time on a Dashboard.

Export the Hours

Time tracking cards can be exported, with CSV durations in decimal hours among the formats.

Third-Party Apps

Time and invoicing apps connect to ClickUp, and some export draft invoices to accounting tools. They are separate products with their own cost.

No Native Invoice Feature

ClickUp has no native way to build an invoice from billable time. It is one of the most requested features.

Where It Falls Short

The Gaps People Run Into

If these are your problem, keep reading.

  • There is no invoice template, invoice number or invoice PDF in ClickUp.
  • Rates, billed versus unbilled time and payment status are not tracked natively.
  • There is no ClickUp-built link to accounting tools such as QuickBooks, Xero or FreshBooks.
  • Hours have to be rounded, summed and copied across by hand.
  • Every invoice is laid out by hand in another tool.

Worked Example

Example: An Invoice Built From One Task

The layout is designed once. For each task, Render fills it in and attaches the PDF. Values are illustrative.

How Render Does It

Set It Up Once

Render produces the invoice PDF. DataFlow can prepare the hours. Together they cover the document and the numbers behind it.

1

Number Invoices With the Sequencer

Create a series such as INV-{YYYY}-{counter} that writes the number into a task custom field.

2

Prepare the Hours With DataFlow

Use the invoice-ready time template to round hours to your billing increment and total them by client. You then enter the total on the task. There is no automatic handoff between DataFlow and Render.

3

Design the Invoice

Create a Render output with your logo, the invoice number field, client, due date, a table for line items and the total. Line items can repeat from checklist items or subtask names.

4

Choose What Goes Back

Attach the PDF to the task, write the verification link to a field and set a status such as Invoiced.

5

Trigger It From ClickUp

Add a ClickUp automation (check that your plan includes the webhook action) that calls the output's webhook when a task reaches Ready to Invoice, and run it once on a real task to test.

FAQ

Common Questions

Not here? Ask us.

Does ClickUp have invoicing?

ClickUp has no built-in invoice builder. It tracks billable time, and QuickBooks Online Sync (beta, Business Plus and Enterprise) brings customers and invoices from QuickBooks into ClickUp.

Can Render email the invoice to the client?

No. Render attaches the PDF to the task. Sending it is a separate step.

Does Render connect to QuickBooks, Xero or FreshBooks?

No. Render makes the document. It does not connect to accounting tools or track payments.

Does Render calculate tax or rates?

No. Put the total in a custom field and Render prints it. Render does not handle tax or payment tracking.

Can Render read individual time entries?

No. It can use a task's total time tracked and estimated. For per-entry hours, use DataFlow's time export.

Can invoice numbers be unique?

Yes. The Sequencer gives each invoice a unique number that never repeats and can restart each year. Render reads that number from the task field.
