ClickUp Capacity Planning for Agencies: What Workload View Covers
ClickUp's Workload view shows how much work each person has against their capacity. It is a good start, but agencies usually need more: leave and holidays, billable versus internal time, and a view by project. This guide covers what Workload does, what needs a higher plan and where the gaps are.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
Workload View
Workload measures capacity per person using time estimates, task count, points or a numeric custom field. Colors show who is under, near or over capacity, and you can group by assignee over days, weeks or months.
Default Capacity and Working Days
You set a default daily capacity, such as eight hours, and can override it for a person. Workspace working days are configurable, and non-working days show zero capacity.
Plan Differences
Workload view is available on every plan, with usage limits on Free and Unlimited and unlimited use from Business. Setting capacity per day and marking any day as no capacity needs Business Plus or Enterprise.
Estimates Drive It
If you measure by time, every task needs an estimate, or the picture is incomplete.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- Workload takes Personal Time Off into account when it calculates capacity, and setting a day to no capacity needs Business Plus or Enterprise. Leave approval, HR-system links and regional holiday calendars are separate set-up work.
- There is nothing for per-project capacity splits, or for separating billable from internal time.
- Workload shows what is planned, not a forecast from your pipeline.
- Missing estimates make people look under capacity when they are not.
- Getting the picture out of ClickUp and into a weekly report is manual.
Worked Example
Example: A Weekly Capacity Check
The question for each person is the same: planned work against capacity. Values are illustrative.
| Person | Capacity (hrs) | Planned (hrs) | Billable Share | Status |
|---|---|---|---|---|
| Ana | 40 | 46 | 78% | Over capacity |
| Ben | 40 | 31 | 64% | Under capacity |
| Ravi | 32 | 30 | 85% | Near capacity |
| Team | 112 | 107 | 75% | Healthy overall |
Sample data for illustration.

FAQ
Common Questions
Not here? Ask us.
What does ClickUp Workload view measure?
Capacity per person using time estimates, task count, points or a numeric custom field, with colors for under, near and over capacity.
Can I set holidays and leave?
Personal Time Off feeds into Workload capacity, and marking any day as no capacity needs Business Plus or Enterprise. Leave approval and HR-system integration are scoped separately.
Which plan do I need?
Workload view is on every plan, with usage limits on lower plans. Per-day capacity customization needs Business Plus or Enterprise.
Does it forecast future capacity?
Workload shows work that is already planned. It does not forecast from a sales pipeline.
Can I plan capacity by project?
There is no per-project capacity split. Teams usually add a view or a report for that.
Can you set this up for our team?
Yes. We set up Workload and build the missing pieces, such as billable versus internal views and a weekly summary.
