Kodavara Guide
ClickUp for Podcast Production: Ship Every Episode on Schedule
A podcast is a repeatable pipeline. In ClickUp each episode can start from a template with stages from planning to promotion, a Form books guests, Docs hold briefs and show notes, and recurring tasks and a calendar keep the release schedule. Audio files stay in your storage and hosting tools. This guide shows the configuration we build.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
Episode Template
A task or Folder template saves the stages, checklists and relative dates for every episode, with the parts you choose.
Guest Booking Form
A Form collects guest details and availability and creates a task, shared by link or embedded on your site.
Docs for Briefs and Notes
Docs hold the guest brief, outline and show notes, linked to the episode task.
Release Calendar
Calendar view shows the release schedule, and recurring tasks create regular chores such as weekly planning.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- ClickUp does not record, edit or host audio, so files stay in your recording, editing and hosting tools, linked from the episode.
- Guest scheduling across time zones still needs a scheduling tool, with the booking recorded in ClickUp.
- Episode quality depends on a shared checklist, which the template provides but people must follow.
- Some features depend on your plan, so check it against what you need.
- Sponsor deliverables and ad reads need their own tracking fields.
Worked Example
Example: An Episode
Every episode carries the same stages. Values are illustrative.
| Stage | Output | Due |
|---|---|---|
| Plan | Topic and guest confirmed | Release minus 21 days |
| Record | Audio recorded and backed up | Release minus 14 days |
| Edit | Edited audio and chapters | Release minus 7 days |
| Prepare | Show notes and graphics approved | Release minus 3 days |
| Publish and promote | Live and promotion posts scheduled | Release day |
Sample data for illustration.
