ClickUp Recruiting Pipeline: Track Candidates Without Losing Control of Privacy
ClickUp can run a recruiting pipeline with a Board of candidate stages, an application Form and Custom Fields, inside a private Space limited to HR and hiring managers. It is not an applicant tracking system. Tasks can be made private on all plans, and we still recommend private locations as the default. This guide shows what to build and where to be careful.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
Board of Stages
A Board view shows candidates by stage, such as Applied, Screening, Interviewing, Offer and Hired.
Forms for Applications
A Form creates a candidate task from each application. Branding and conditional logic depend on plan.
Custom Fields
Role, source, score, salary expectation and interview dates are tracked as fields so you can filter and report.
Private Spaces, Folders and Lists
Locations can be made private and shared with specific people only, shown with a lock icon.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- ClickUp has no native applicant tracking features such as resume parsing or job board posting.
- Privacy at the level of a single task is a gap people have asked for, so confidential material belongs in a private location.
- Guests on lower plans have limits on the permissions you can give them.
- Candidate data can carry legal obligations, so check your retention and access rules with advisers.
- Without a stage definition, scores and rejection reasons are inconsistent.
Worked Example
Example: A Candidate Record
Every candidate carries the same fields. Values are illustrative.
| Field | Type | Example |
|---|---|---|
| Candidate | Task name | Jordan Reyes |
| Role | Dropdown | Operations Analyst |
| Stage | Status | Interviewing |
| Source | Dropdown | Referral |
| Interview score | Number | 4 |
| Owner | People | Hiring manager |
Sample data for illustration.
The Configuration
The Configuration: What We Build and Monitor
Designed around your hiring process and who is allowed to see what.
| Layer | What We Build | What We Watch |
|---|---|---|
| Private Structure | A private Space for HR with Lists per role, shared only with named people | Access creep |
| Pipeline | Stages with exit criteria, a Board for each role and a shared template | Candidates stuck in a stage |
| Intake | An application Form with required fields, routed to the right role List | Incomplete applications |
| Scoring | Fields and a scorecard task for each interview | Inconsistent scoring |
| Automation | Reminders for follow-ups and stage changes that notify the hiring manager | Slow responses |
| Reporting | A dashboard of open roles, time in stage and source | Roles with no movement |

FAQ
Common Questions
Not here? Ask us.
Can ClickUp be used as an applicant tracking system?
It can run a candidate pipeline, but it is not a dedicated ATS. There is no resume parsing or job board posting.
Can candidate information be private?
Yes, in private Spaces, Folders and Lists shared with specific people.
Can I make a single task private?
Yes. Tasks can be made private on all plans. Members can make tasks they created private, admins can make any task private, and guests cannot change privacy. We still recommend private locations as the default, and we test sharing before launch.
Can candidates apply through ClickUp?
Yes, through a Form that creates a candidate task. Check Form limits on your plan.
Is it compliant with hiring laws?
That depends on your jurisdiction and policies. Check your retention and access rules with advisers.
Can you set this up for HR?
Yes. We design, build and train.
