ClickUp Client Onboarding: Make the First 30 Days Repeatable
A good onboarding workflow means every new client gets the same quality start, whoever is on duty. In ClickUp it is built from an intake Form, a project template, automations that assign owners and dates, and a client-facing view. This guide shows the configuration we build.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
Forms for Intake
A Form collects details from the client or your sales team and creates the onboarding task, with conditional questions on higher plans.
Templates
A Folder, List or task template creates the same project structure, tasks, checklists and due dates for every new client.
Automations
Rules assign owners, set due dates relative to the start date, create follow-up tasks and notify the team.
Client Visibility
Guests with limited sharing, shared views and Dashboards give clients a view of progress, without exposing internal work.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- There is no dedicated client portal, so client visibility is designed with sharing settings and views.
- Templates drift when each team edits their own copy, so one owner should maintain them.
- Forms on public links need a review step, since controls are limited.
- Due dates relative to a start date only help if the start date is set accurately.
- Onboarding that depends on several systems needs its handoffs defined, for example CRM to ClickUp.
Worked Example
Example: Onboarding Milestones
A typical 30-day plan. Values are illustrative.
| Day | Milestone | Owner |
|---|---|---|
| 0 | Intake form complete, project created from template | Account manager |
| 2 | Kickoff call booked and agenda sent | Account manager |
| 5 | Access and assets collected from the client | Onboarding lead |
| 14 | Setup complete and first review | Delivery lead |
| 30 | Onboarding review and handover to ongoing work | Account manager |
Sample data for illustration.
The Configuration
The Configuration: What We Build and Monitor
Designed around your service and your handoff from sales.
| Layer | What We Build | What We Watch |
|---|---|---|
| Intake | A Form for sales and client details that creates the onboarding project | Incomplete forms |
| Template | A project template per service, with tasks, checklists, owners and relative due dates | Template drift |
| Handoff From Sales | A trigger from your CRM or a closed-won status that starts the project | Deals without a project |
| Automation | Owner assignment, reminders and escalation for late steps | Overdue onboarding tasks |
| Client View | A shared view or Guest access that shows progress and next steps | Over-sharing internal work |
| Reporting | Dashboards for time to onboard, stuck projects and workload | Slow or stalled onboarding |

FAQ
Common Questions
Not here? Ask us.
Can ClickUp run client onboarding?
Yes. A Form, a project template, automations and a shared view cover the whole workflow.
Can clients see their onboarding progress?
Yes, through Guests with limited sharing, shared views or Dashboards. There is no dedicated portal, so we design the view.
Can onboarding start when a deal closes?
Yes. A closed-won status or an integration with your CRM can create the project automatically. See our CRM guide and integration guides.
How do due dates work?
A template can set due dates relative to the start date, so the whole plan shifts with it.
What if our services differ?
We build a template per service and a Form that routes to the right one.
Can you set this up for our team?
Yes. We design, build, test with a real client and train your team.
