GoHighLevel and ClickUp: Hand Won Deals to Delivery Without Retyping
ClickUp does not have a native GoHighLevel integration, and the request for one is still open on its feedback board. The two tools connect through middleware such as Zapier, Make, Pabbly or Relay, or through HighLevel webhooks and the ClickUp API. This guide shows what that means in practice and the configuration we build: a won opportunity creating the client project, with IDs tracked and failures caught.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
No Native Integration
There is no native GoHighLevel integration and no official ClickUp automation action for it. A feature request for one is still marked as a new integration on ClickUp feedback.
Middleware Routes
Zapier, Make, Pabbly Connect and Relay all offer GoHighLevel and ClickUp connections. They are event-driven flows, typically one way per flow, not a true two-way sync.
HighLevel Webhook Action
HighLevel workflows can send a custom webhook to an endpoint you control, which then calls the ClickUp API. This avoids per-task middleware fees but needs someone to maintain it.
ClickUp API and Webhooks
The ClickUp API supports creating Spaces, Lists and tasks, and ClickUp webhooks report changes such as status updates, so ClickUp can notify HighLevel in return.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- Nothing maintains the link between a HighLevel record and a ClickUp task. You have to store the ClickUp task ID in a HighLevel custom field yourself.
- Duplicates are easy to create when a workflow fires twice or a retry runs, so each flow needs a check for an existing task.
- Both tools have API rate limits, so a bulk import or a burst of leads can fail part way and needs retry logic.
- Middleware pricing is usually by task or operation, so a busy pipeline can cost more than expected.
- A flow that works on the day it is built can break silently when a field is renamed or a status is changed on either side.
Worked Example
Example: A Won Deal Becomes a Client Project
A common handoff. Values are illustrative.
| HighLevel Event | ClickUp Result | Notes |
|---|---|---|
| Opportunity moved to Won | Client folder or List created from a template | Named after the contact or company |
| Contact name, email and package | Custom fields filled on the project task | Package decides which template is used |
| Assigned user | Task assignee | Mapped by email address |
| ClickUp task ID returned | Stored on the HighLevel contact | Lets later updates find the right task |
| Task marked Complete in ClickUp | Note or tag added in HighLevel | Optional, via a ClickUp webhook |
Sample data for illustration.
The Configuration
The Configuration: What We Build and Monitor
A business configuration, designed around your pipeline and delivery process.
| Part | What We Build | What We Watch |
|---|---|---|
| Trigger | A HighLevel workflow on opportunity won, form submit or tag | That the trigger fires once per deal |
| Transport | Middleware flow or a small webhook service, chosen by volume and budget | Failed runs and retries |
| Template | A ClickUp Folder or List template per package, with tasks, owners and due dates relative to the start | Template still matches how you deliver |
| ID Link | ClickUp task ID stored in a HighLevel custom field, and the contact link stored on the task | Orphaned or duplicate records |
| Return Path | A ClickUp webhook or automation that tells HighLevel when delivery milestones finish | Webhook health and suspensions |
| Alerts | A failure notification to a named person | Runs that did not complete |
How Kodavara Consulting Does It
Set It Up Once
We design the handoff, build and test it with your real pipeline, and document how it works.
Map the Handoff
We agree what a won deal must create in ClickUp and which HighLevel fields feed it.
Choose the Route
We pick middleware or a custom webhook based on your volume, budget and who will maintain it.
Build the Template and Flow
We build the ClickUp template and the flow, with duplicate checks and ID storage.
Test With Real Deals
We run sample and historical deals through it and fix the edge cases.
Document and Monitor
We hand over a runbook and set up failure alerts.
FAQ
Common Questions
Not here? Ask us.
Does ClickUp integrate with GoHighLevel?
Not natively. They connect through middleware such as Zapier, Make, Pabbly or Relay, or through HighLevel webhooks and the ClickUp API.
Is the sync two-way?
Typically not out of the box. Each flow is event driven and usually one way, and a return path is built as a second flow or webhook.
Can a won deal create a whole client project?
Yes. A flow can create a Folder, List or task set from a template when an opportunity is won.
What does it cost to run?
The middleware charges by its own plan, and HighLevel needs a plan that allows workflows and API access. We do not quote prices here.
What if ClickUp adds a native integration later?
We would review it. Native options are usually simpler to maintain, and we would tell you if it covers your case.
When is a custom build better than middleware?
When volume makes per-task pricing costly, when you need duplicate and retry handling, or when several systems must stay consistent.
