Ziflow and ClickUp: Review and Approve Creative Work Without Leaving the Task
Ziflow is an online proofing and approval tool, and it has an integration with ClickUp built and documented by Ziflow. Ziflow has recently added a ClickUp-embedded experience for creating proofs from a task, opening them for review and seeing proof status beside the task. This guide covers what it does, where you still design the process, and the configuration we build.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
A Ziflow-Built Integration
The integration is built and documented by Ziflow, and ClickUp also lists it in its help center. Ziflow lists it on its Pro and Enterprise editions.
Proofs From ClickUp
Ziflow describes creating a proof and launching a review from a ClickUp task, choosing reviewers and workflow stages, and seeing proof status and key details beside the task.
Ziflow to ClickUp
Automations in Ziflow can create a ClickUp task for a new proof, mark it complete on approval, update custom field values with the proof decision, post comments and add proof links to tasks.
Connecting the Two
The established route is to connect ClickUp from Ziflow under Connect and Applications, authorise it with ClickUp, then build the Ziflow automations or link proofs to tasks by hand.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- Reviewers and review stages live in Ziflow, so you manage two systems and two sets of rules.
- Mapping proof decisions to ClickUp statuses or fields is something to design and test, not something to assume.
- The ClickUp embedded experience does not support dragging files in, so files are added through the form.
- Ziflow is a separate subscription, and the integration is listed on its Pro and Enterprise editions.
- ClickUp has lighter native proofing and approvals. Ziflow earns its place when you need multi-stage review, version control and an audit trail.
Worked Example
Example: A Creative Review Flow
A typical agency or marketing flow. Values are illustrative.
| Step | Where | Result in ClickUp |
|---|---|---|
| Designer attaches artwork and starts a review | ClickUp task, Ziflow proof | Proof status shows on the task |
| Stage 1: copy and brand review | Ziflow | Task stays In Review |
| Stage 2: client approval | Ziflow | Decision written to a custom field |
| Changes requested | Ziflow | Task moved back, comment added |
| Approved | Ziflow | Task marked complete, proof link kept |
Sample data for illustration.
The Configuration
The Configuration: What We Build and Monitor
Designed around who reviews what, and what each decision should do in ClickUp.

| Review Workflow | Ziflow stages and reviewers for each work type, with clear ownership | Reviews waiting on one person |
| Decision Mapping | A written map from proof decisions to ClickUp statuses or fields, built in Ziflow automations | Decisions that do not reach the task |
| Task Creation | Rules for when a new proof creates a task, and in which List | Duplicate or orphaned tasks |
| Notifications | Who is told when a review or decision is needed, in ClickUp and Ziflow | Reminder overload |
| Reporting | A dashboard of work in review, approved and returned, with time in each | Reviews that stall |
