ClickUp Executive Dashboards: Reports That Answer the Questions Leaders Ask
ClickUp Dashboards pull tasks, time, workload and sprint data into cards. Dashboards are limited by plan, with card types tiered by plan and a cap on cards per Dashboard. Guests see only data they already have access to, and Dashboards are not a public portal. This guide shows how to design reporting leaders use and the build we deliver.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
Cards for Many Questions
Dashboards combine cards for task lists, charts, time, workload and sprints. Card types are tiered by plan, with Advanced cards on Business and above.
Limits by Plan
Lower plans limit how many times you can use Dashboards, and a Dashboard holds up to a set number of cards. Check your plan.
Sharing
Dashboards can be shared with people or the Workspace. A guest sees only data from items they already have access to.
Time, Workload and Sprint Cards
Dedicated cards report on time tracked, team workload and sprint progress, with Sprint Cards on Business and above.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- A Dashboard is only as good as the data behind it. Missing fields and inconsistent statuses produce misleading charts.
- Dashboards cannot be made public in the way some views can, so they are not a client portal replacement.
- Too many cards on one Dashboard makes it slow and hard to read, so we design one per audience.
- Lower plans have use limits that do not reset, which can surprise a growing team.
- Numbers that leaders cannot trace to tasks lose trust quickly.
Worked Example
Example: Three Audiences
One Dashboard per audience. Values are illustrative.
| Dashboard | Audience | Key Cards |
|---|---|---|
| Delivery health | Leadership | Projects by status, overdue work, milestones due |
| Team workload | Managers | Workload by person, unassigned work, time tracked |
| Client view | Account teams | Open requests and age by client |
| Sales to delivery | Leadership | Won work waiting to start |
| Adoption | Admin | Active users and tasks updated by team |
Sample data for illustration.
The Configuration
The Configuration: What We Build and Monitor
We start from the questions, then fix the data, then build the cards.
| Layer | What We Build | What We Watch |
|---|---|---|
| Question List | The decisions each audience makes and the number that informs each | Reports nobody reads |
| Data Fixes | Required fields, consistent statuses and naming so cards are accurate | Missing or inconsistent data |
| Dashboard Set | One Dashboard per audience with a limited number of cards | Card overload |
| Sharing | Who can view and who can edit, with guests limited to what they can see | Wrong audience |
| Plan Fit | Card types and usage within your plan | Hitting use limits |
| Review Rhythm | A schedule to retire cards and check numbers against source tasks | Stale or untrusted cards |

FAQ
Common Questions
Not here? Ask us.
What can ClickUp Dashboards show?
Task lists and charts, time tracked, workload and sprint progress, depending on card types available on your plan.
Are there Dashboard limits?
Yes. Lower plans have usage limits, card types are tiered by plan, and a Dashboard holds a limited number of cards.
Can clients see a Dashboard?
Guests can be given access, but they see only data from items they already have access to. Dashboards are not a public portal.
Why are my numbers wrong?
Usually missing fields, inconsistent statuses or tasks in the wrong place. We fix the data before the cards.
