ClickUp for School Admissions: Move Every Applicant Through the Same Stages
ClickUp can run admissions when each applicant is a task moving through stages. A Form creates the application and accepts file uploads, a Board shows the pipeline, Calendar view holds open days and interviews, and private locations limit who sees applicant records. It is not a student information system. This guide shows the configuration we build.

What You Can Do Natively
Start with the features available on your ClickUp plan.
Application Form
A Form creates an applicant task, accepts file uploads and can be shared by link or embedded in your website. Branding and conditional logic depend on plan.
Stage Pipeline
A Board of stages such as Enquiry, Applied, Interview, Decision, Offer and Enrolled shows every applicant.
Calendar for Events
Calendar view shows open days, interviews and deadlines.
Private Locations
Spaces, Folders and Lists can be made private and shared with named staff only.

If these are your problem, keep reading.
- ClickUp is not a student information system, so grades, attendance and the student record stay in your school software.
- Applicant records often include sensitive data, so check your privacy obligations and access rules with your advisers.
- Tasks can be made private, but restricting at the location level is the safer default for applicant records.
- Families do not get a portal. Updates go out by email or through a shared view you design.
- Peak application periods stress automations, so keep them lean and check your plan allowance.
