ClickUp for Agencies: Run Client Work, Time and Approvals in One Place
ClickUp can run an agency well when each client is set up the same way. It has time tracking with billable flags, a Workload view, templates, guests for client sharing and statuses for approvals. It has no native invoicing or retainer tracking, and several time and workload features depend on your plan. This guide shows the configuration we build for agencies.

What ClickUp Does Today
What You Can Do Natively
Start with the features available on your ClickUp plan.
Time Tracking and Billable Flags
Time can be tracked on tasks and marked billable or non-billable. A Workspace default can be set. The billable feature is gated by plan.
Workload View
Workload shows who is over or under capacity. Custom capacity per day and no-capacity days need Business Plus or Enterprise.
Client Sharing With Guests
Guests see only the items shared with them. Guests can track time only if an admin enables it and they have edit permission on the task. Guest seat allowances depend on your plan.
Templates and Statuses
Folder and List templates give every client the same structure, and statuses model review and approval stages.
Where It Falls Short
The Gaps People Run Into
If these are your problem, keep reading.
- ClickUp has no native invoicing or retainer burn tracking, so hours against a retainer are reported through Dashboards or an export.
- Billable flags and Workload capacity depend on plan, so check your tier before designing around them.
- Guests are limited by seat allowances, and a client portal feel has to be designed with sharing and views.
- Without a naming and template standard, every client ends up set up a little differently.
- Approvals are a process built from statuses, assigned comments and checklists, not a hard lock. See our process automation guide.
Worked Example
Example: A Client Folder
The same structure for every client. Values are illustrative.
| List | Purpose | Key Fields |
|---|---|---|
| Requests | Intake from the client or account manager | Type, priority, requested by |
| In Production | Work in progress | Owner, due date, estimate |
| Review and Approval | Internal and client review | Reviewer, round, decision |
| Retainer Hours | Hours against the monthly allowance | Billable, hours, month |
| Reports | Monthly summaries | Period, link to dashboard |
Sample data for illustration.
The Configuration
The Configuration: What We Build and Monitor
Designed around how you sell work: retainers, projects or both.
| Layer | What We Build | What We Watch |
|---|---|---|
| Client Template | A Folder template with Lists, statuses, fields and automations that every new client starts from | Clients that drift from the template |
| Intake | A Form or request List with required fields and routing to an account manager | Requests without owners |
| Time and Billing | Billable flags, estimates and a monthly hours dashboard per client, within your plan | Unbilled or over-allowance hours |
| Capacity | Workload view and a rule for what each person can take on | Overloaded people |
| Approvals | Review statuses, assigned comments, checklists and, where needed, a proofing tool | Work stuck in review |
| Client Sharing | Guest access and shared views that show progress without internal notes | Over-sharing |
| Reporting | A dashboard per client and one for leadership | Reports that disagree with invoices |

FAQ
Common Questions
Not here? Ask us.
Is ClickUp good for agencies?
Yes, when every client is set up from the same template and time, capacity and approvals are configured on purpose.
Can ClickUp track retainer hours?
Through time tracking and a Dashboard. There is no native retainer burn feature, so we build the report.
Can clients see their work?
Yes, through guests and shared views. Guests see only what is shared with them.
Does ClickUp invoice clients?
No. Hours are reviewed in ClickUp and invoiced in your accounting tool. See our invoice guide and QuickBooks guide.
Which plan do we need?
It depends on billable flags, Workload capacity and guest seats. We check your plan against the design.
Can you set this up for our agency?
Yes. We design, build, pilot and train.
